Privacy policy

New Trend Rental Equipment (“New Trend Rentals”, “we”) is a division of New Trend Manufacturing (Pty) Ltd (registration number 2014/233813/07). We respect your privacy and handle your personal information according to the Protection of Personal Information Act, 2013 (POPIA). This policy explains what we collect, why, and your rights.

What we collect
- When you book: your name, cellphone number, email address (optional), the trailer, dates and any note you add.
- When you collect: we check your ID, driver's licence and (for new customers) proof of address, and may note your ID number and vehicle registration.
- Photos at hand-over and return: our staff photograph the trailer when it leaves and when it comes back – usually hooked to your vehicle, with the number plate visible. This is our shared proof of the trailer's condition.
- Payments: whether you paid by card or cash and the amount. Card payments are processed by the bank's card machine – we never see or store your full card number.
- Messages: WhatsApp messages, emails and calls about your booking.
- Website: anonymous usage statistics through Google Analytics (pages visited, device type, approximate location). These use cookies; you can block them in your browser.
Why we use it
- To reserve, confirm and manage your hire, and to contact you about it (for example a return reminder).
- To confirm who is hiring our trailers and to protect our property (identity checks, condition photos, deposits).
- To keep accounting and tax records as the law requires.
- To handle damage, loss, traffic fines or disputes relating to a hire.
We do not sell your information and we do not send you marketing without your permission.
Who we share it with
- Our staff who handle bookings and the yard.
- Service providers we use to run the business: WhatsApp (Meta) and our email provider for messages, our website host, and our bank for card payments. They may only use the information to provide their service to us.
- Authorities such as SAPS or traffic departments, insurers or our legal advisers – only where the law requires it or where it is needed for a claim, theft, damage or fine relating to your hire.
How long we keep it
Booking and payment records are kept for at least 5 years, as required by tax law. Hand-over and return photos are kept for as long as they may be needed for a claim and then deleted. Information we no longer need is deleted or anonymised.
How we protect it
Bookings are stored on a secured system that only authorised New Trend staff can open with a password or PIN. Photos are not public. If a security breach ever affects your information, we will tell you and the Information Regulator as POPIA requires.
Your rights
You may ask us what personal information we hold about you, ask us to correct or delete it, or object to how we use it (unless the law requires us to keep it). Contact our information officer at rent@newtrendrentals.com. We will respond within a reasonable time.

We may update this policy. The date at the top shows the latest version.
